Bulk Sign-Offs
I was using Upheal in combination with SimplePractice due to the practice I work at. However, I am looking at going solo and want to use Upheal almost exclusively. However, what I ended up doing was not signing the documents in Upheal, since I would sign them off in Upheal. I am now sitting on over 1000 unsigned notes in Upheal.
I would love a feature or some system to help me do bulk sign-offs. I could see this being a useful feature anyway, in case a therapist has a very very busy week - they could use a bulk sign-off feature to sign all their notes in the past week at once.
This would be a cool feature to have, in my opinion!

Hi @Robert Samczuk Ted here, Head of Clinical Operations. We do recognize the use case to have the ability to bulk sign notes. I would confirm this with your legal team, but I wanted to hop on here and say that if the content of your notes for these sessions completed in Upheal as a scribe were transferred into SP for your practice, then there would not be a need to also sign them in Upheal as your new system of record. Those sessions were essentially captured in Simple Practice. Any request for legal records by clients that move with you from your current practice would also have to include getting the records exported out of Simple Practice. To make that process easier, I would suggest migrating the clinical record into Upheal fully from SP. That way the pdfs of the previous session notes would also live inside of Upheal. Morning Ted! Thanks for letting me know! And I appreciate all you guys do at UpHeal. I always love interacting with the support team! My current situation does not allow me to seperate from Upheal and SP; however in my personal plans for my eventual practice I will be making the full shift to Upheal. I was concerned with the signed documents, hence my attempts to bulk-sign. However, knowing that your migration system can do that and bring PDFs over saves lots of headaches and concerns. Just trying to make sure I stay fully legal and ethical with my notes. Thank you again for taking the time to respond and I thank your whole team who are amazing!

@Robert Samczuk Thank you for the suggestion! You can likely handle this with the Upheal Assistant to a certain extent. You’ll find it in the bottom-right corner—just ask it to sign your unsigned notes for you. It currently works well for tens of notes, but we haven’t tested it on 1,000+ yet 😅.

I tried to do that. The system told me it could not do that. Ii then told me to send in a ticket to the support team who then said: “Bulk signoffs should be coming in the future. We don't have the ability to do this right now/ It has to be built. I would ask that you submit this feature request.”

Have you tried Upheal Assistant recently? We just released a major update that should help. The screenshot below demonstrates it can already handle bulk sign-offs.

It started finding the sessions when I used these exact prompts. However, it did not sign off on ALL my notes. When I gave it the prompt to check for all unsigned notes to date, it presents with an error:

Also, I just realized. Of the notes the system did sign off on, it signed for Today’s date NOT the date of the actual session

@Robert Samczuk Thank you for reporting this. We've identified an issue with the date the Assistant is using when signing off notes. It appears to be using today's date rather than the actual session date. We'll investigate this immediately and get it resolved.

You can also ask the Assistant to “unsign” notes so that they don’t use incorrect time.

This error is likely caused by the high volume of notes being processed at once. As a workaround, we recommend signing them in smaller batches, for example, asking the Assistant to sign only notes from a single month. This should help the system process them more reliably.

I am in a similar place as Robert and have tried your suggestion (to sign in smaller batches) but can confirm that the signature still uses today’s date rather than the actual session. also - thank you all for the work you do! you are so appreciated!!

Please also have a look at the response from our Head of Clinical Operations above on this topic. In short, if you have already signed these notes in another EHR that is your system of record, it generally should not be necessary to sign them again in Upheal.

Implement "Bulk Signing" Capabilities for Pending Notes (Global and Client-Specific)
Currently, clinicians must open, review, and sign each progress note individually. When managing a large caseload or catching up on weekend documentation, this requires an excessive number of repetitive clicks and page loads. To streamline the administrative workflow and ensure timely compliance, providers need a secure way to sign multiple finalized notes simultaneously.
Requested Features / Solutions:
Global "Bulk Sign" from the Home Screen:
Implement a checkbox system on the main dashboard next to all unsigned notes.
Allow providers to select multiple notes (or click a "Select All Unsigned" box) and hit a single "Sign Selected Notes" button.
Security Safeguard: To maintain legal integrity, this action should trigger a single confirmation pop-up requiring the provider to re-enter their PIN/password or check an attestation box (e.g., "I attest that these selected notes accurately reflect the sessions billed").
Client-Specific "Bulk Sign" within Client Files:
When viewing a specific client's file, add a "Sign All Pending Notes for this Client" button. This allows the clinician to quickly lock and finalize an entire episode of care or a month of consecutive sessions for that specific individual in one step.
