šŸ” User Roles for Group Practices: Biller & Practice Manager

We're adding non-clinical user roles so you can give billers and office staff the access they need without opening up your clients' clinical notes. Right now every role has clinical access, so there's no way to bring on staff who shouldn't see notes. These roles fix that.

You'll be able to assign a Biller role for staff who manage invoices, statements, and superbills across all your clients, and a Practice Manager role for someone who runs the day-to-day operations: scheduling, team members, and client records. Both roles can do their full job, but neither can see notes, treatment plans, transcripts, or any AI-generated clinical content.

This means you can bring on non-clinical staff with confidence that the clinical wall holds, helping you stay aligned with HIPAA while keeping billing and admin running smoothly.

    Non-clinical user roles have officially shipped! You can now bring billers and office staff onto your Upheal account and give them exactly the access they need — without ever opening the door to your clients’ clinical notes.

    Two new roles to assign from your organization’s team settings:

    • Biller: manages invoices, statements, and superbills across every client in the practice.

    • Practice Manager: runs day-to-day operations: scheduling, team members, and client records.

    Both roles can do their full job end-to-end, but neither can see notes, treatment plans, transcripts, or any AI-generated clinical content — so the clinical wall holds and you stay aligned with HIPAA while billing and admin keep running smoothly.

    I support this. I would also like to see the possibility to upload/provide a professional will and have someone pre-approved/ā€on-deckā€ for access if certain criteria are met, with minimal friction in case of clinician incapacitation/death.

      @Linda SalomoneWe’re aiming to release this at the beginning of September. We want to make sure people can only access the content they’re meant to see across the whole practice, and we’re applying that consistently across all features, so it’s taking a bit longer than expected. Thanks for your patience.

    This is essential for me and ties me to SimplePractice , which is a connection I’d like to end as soon as possible. I have someone who files insurance claims for me so I don’t need Upheal for that purpose but I still want to migrate completely to Upheal. The more urgent need is that I also have someone in the Biller role and until I can give her access without the clinical access, I’m stuck with SimplePractice.
