💳 No-Show and Late Cancellation Fees
We're adding automatic fee charging for no-shows and late cancellations so you can enforce your cancellation policy without chasing clients or remembering to send manual invoices.
You'll be able to set your own fee amounts and your cancellation window (24 hours, 48 hours, whatever your policy says) once, and then have Upheal handle the rest. When a session is marked as a no-show or canceled inside your window, the fee is charged to the client's card on file or added to their balance for next time.
For practices that lose meaningful revenue to missed sessions, this turns a workflow you currently dread into something that just runs in the background, with a clear record of what was charged and why.

Great idea. We’ll add a warning to clients when they try to reschedule inside your cancellation window (24 or 48 hours), so they see the policy before confirming.

Will we also have the capability to mark as no-show/cancellation, but waive the fee?Sometimes I give grace based on the situation, but still like a running record of these things to track patterns and make sure it doesn’t become habitual. Also, thinking about Medicaid clients that we can’t charge these fees to.

in a like post, payment at time of booking solves this. Likewise for those who offer no charge pre-intake sessions, to be able to take a card, hold a depost, and have the charge not processed, unless triggered by the clinic, would be awesome

But first the calendar need to allow us to check of no-shows and late cancels as such. It is nearly impossible to keep track of that now. Still. We really should have this by now.

(with one caveat worth naming)
You can set your fee amounts and your cancellation window once, and Upheal applies them from there. When a client cancels after your cutoff, the session is flagged as a late cancellation and an invoice is created automatically. When you mark a session as a no-show, you're prompted to confirm whether to charge the fee, so nothing goes out without your say.
The caveat: this creates the invoice, it does not silently charge the card on file. That last step is Autopay, which is still in progress.
