šŸ” Custom Roles and Permissions

We're letting you build your own team roles with exactly the access each person needs. Instead of choosing from a fixed set of roles, you'll be able to create roles for your practice and turn individual permissions on or off, from billing and scheduling to notes and client management.

Each permission can also be scoped, so a role can act on just its own clients or across your whole practice. Rather than fitting people into preset roles, you define exactly what each role can and can't do.

This gives you full control over who sees and does what, so your access setup matches how your practice actually runs, no matter how your team grows.

    Practice Roles need clarification

    I need the practice management role to allow more than what is available at this time. My Revenue company/biller also provides auditing services for me and checks if my notes are compliant with the insurance agencies. They told me they need access to progress notes to review the following:

    • Check that I completed a note

    • If not is compliant for medical necessity

      • Place of service must be visible

      • Telehealth requirements must be visible

      • Face-to-face time with pt must be visible

    • If the CPT code is correct

    • If I signed the note

    • Also if there is an audit they have to pull the notes to have a review with the utility management of the insurance companies.

      Thank you for the detailed description of what your biller needs.


      Our current non-clinical roles do not include access to notes. At the moment, the best option is to assign your biller the Admin role. This covers everything on your list, but it also grants broader access than they need for this work.

    As a the owner and supervisor of two AMFT’s in my practice, I would like to have full access to their profile, calendar, as well as limiting what they have and don’t have access to.

    I have assigned a progress note template to be used, and it automatically uploads for my own clients, but I had to log onto their individual accounts during a supervision session to make sure they had the correct template set as primary, something I should be able to do from my setting without having to wait for our weekly group supervision sessions.

    Organize Practice Templates

    It’s critical to be able to manage/edit/sort/organize note templates at the practice-level and disallow individual user template access to the practice. This area is unwieldy.

    Role-Based Access Controls & Administrator Dashboard (Mult. Group Practices)

    I am planning to have a group practice that will have multiple different types of providers. For example, Licensed Mental Health Clinicians ((I)MFT’s, LPC(C)’s), Licensed Massage Therapists, Licensed Estheticians, Nail Technicians, and potentially PMHNPs/Psychiatrists. Then, ultimately duplicating this model in other locations.

    Something that would be necessary with this in mind, and probably some other things:

    • Additional Roles other than just ā€œProviderā€, or capability to create our own roles and choose access.

    • Role-based access controls. Administrators can assign clients to multiple providers where they can see demographics, but not have access to notes/dx codes/other HIPPA-compliant information from other sectors within the business.

      -OR-

    • (Probably more advanced): The capability to have multiple business ā€œtabsā€ for administrators under one login. An Administrator Dashboard.

      • Tab #1 (Group Practice A): located in Akron, OH, with ability to create ā€œmini businesses/sectorsā€ as drop downs within that practice (Mental Health, Massage, Nails, Medication Management), and control role-access to these sectors/clients.

      • Tab #2 (Group Practice B): located in Dublin, OH, with ability to create ā€œmini businesses/sectorsā€ as drop downs within that practice (Mental Health, Massage, Nails, Medication Management), and control role-access to these sectors.

      • Basically an administrator dashboard for all the group practice location and sectors within each business, but individual logins for the different providers that show only clients/sectors they are assigned to.

    • Capability for administrators to add a client already being seen for mental health, to the business sector of ā€œMassageā€ with their demographics copying over. Clients may see multiple different massage providers or nail techs, so still need to have the ability to assign multiple providers to the same client, even under the same sector.

      There’s probably a cleaner way to do all of this, but I hope this makes sense what I am hoping to do!

      @DanaĆ© Behr Your multi‑sector, multi‑location group practice model makes complete sense, and it’s exactly the kind of setup we want to support.

      Role‑based access controls and an administrator dashboard for group practices are on our roadmap and are close to being prioritized, though we’re not actively building them just yet. In broad terms, we’re envisioning:

      • Custom roles (beyond just ā€œProviderā€) with configurable permissions per sector or business unit.

      • Role‑based access so admins can see across sectors and assign clients to multiple providers, while restricting access to HIPAA‑sensitive data (notes, diagnoses, etc.) to only what each role needs.

      • An admin dashboard with multiple practice/location views under one login, where each practice can have its own sectors and access rules, and providers only see the clients/sectors they’re assigned to.

      Your use case is helping shape the design. Once we move this into active development, we may reach out for a quick call to validate details before we finalize the workflow.

      I use an outside billing service - I want to give them access as admin only so they can access what they need to bill appropriately, but I don’t want them to see all clinical information. I think that by giving them just admin access for demographics etc would be best.
